Terms and Conditions of The Conference of ESREA BGL 2025 Participation




These are the terms and conditions (the “Agreement”) governing your participation in The Conference of ESREA BGL 2025 'Critical Learning for Sustainable Development: Communities' and Universities' Discourses'  (the “Conference”), that will be held on June 12-14, 2025.
By registering for the Conference you agree to these terms, which form a binding legal contract between the Conference host, The DSW University of Lower Silesia, Strzegomska Street 55, 53-611 Wrocław, Poland, tax number (NIP) 894-230-62-69 (“ULS” or “Organizer”) and the registered attendee or participant (“you” or “Participant”).
If you are registering on behalf of another individual, it is your responsibility to ensure the person participating is aware of these terms and accepts them. By completing the registration on behalf of another individual you are warranting that you have made the Participant aware of these terms and that they have accepted these terms.
 

1 Registration

1.1 To register you must complete the online registration and make full payment of the fee for in-person attendance. You will receive a confirmation upon completing the online registration process. If you have not received your confirmation within 24 hours, please contact the organizing team BGL2025@dsw.edu.pl

1.2 By registering online you have agreed to accept these terms and conditions. A contract will exist as soon as the organizing team sends you a confirmation of registration.

 

2 Fees

2.1 Conference participation fees are given at the conference website.
2.2 The fee includes coffee breaks, lunches, welcome reception, conference materials and other scheduled activities, optional conference dinner.
2.3. Accommodation
and travel expenses are NOT included in the conference fee.
2.4. To make a payment you must register by completing the registration form. We will then send you our bank details. Please note that a bank transfer must be made in full without any deductions for bank charges (neither domestic nor foreign charges). Upon receipt of your transfer, we will send you a full invoice as confirmation of your registration.

Please note that bank transfers often take a very long time. If you choose to pay a particular fee level that is time-restricted your bank transfer must reach our accounts before this date. Should it reach our accounts after this date, the Organizer requests that you pay the difference.

2.5 Payment should be made in EURO or PLN. The default currency is Euro, possible payment in PLN at the rate 1 PLN = 0.24 Euro.

2.6 To qualify for the ESREA Member registration fee, you must be an ESREA Member and the relevant Membership fees must be up to date at the time you register.
 

3. Changes to the Programme
3.1 The Organizer reserves the right to modify the programme due to unforeseen circumstances.

4. Resignation from Participation
4.1 You may withdraw from participation in the Conference within 14 days of your registration date, but no later than 14 days before the Conference begins. Resignation must be submitted in writing.
4.2 If you withdraw from the Conference, the Organizer shall refund any fees already paid within 14 days of the resignation date to the bank account you provide.

5. Complaints
5.1. Any complaints from the Conference Participants towards the Organizer shall be reported in a written form by a registered letter to the head office of the Organizer (The DSW University of Lower Silesia, Strzegomska Street 55, 53-611 Wrocław, Poland) or via e-mail address: BGL2025@dsw.edu.pl
5.2. Complaints made by the Conference Participants can be reported not later than 3 days from the end of the Conference in written form.
5.3. After the due date, no complaints shall be investigated.


6. Content

6.1 Participants may not record or broadcast audio or video of sessions at the conference. The presentation slides and event footage should not be reproduced in any form or any means without the written permission of the Organizer.


7 Privacy policy
7.1 The Administrator of your personal data is the DSW University of Lower Silesia in Wroclaw, 55 Strzegomska Street, 53-611 Wroclaw.
7.2 If you have any questions about processing your personal data and your rights, don't hesitate to get in touch with our Data Protection Officer: iod@dsw.edu.pl.
7.3 Personal data are processed:
- based on Article 6(1)(f) of the RODO, i.e. the legitimate interest of the administrator, which is the execution of your requests, as well as the possible assertion of civil law claims or defence against them;
- based on Article 6(1)(c) of RODO, i.e. the processing is necessary for compliance with a legal obligation imposed on us
7.4 A person has the right to access and rectify, erase, restrict processing of their data, the right to data portability, the right to withdraw consent at any time without affecting the lawfulness of the processing. Each person has the right to access the content of their data and to correct them at any time.
7.5 Personal data will be processed until our archiving obligations cease or the period of limitation for our mutual claims expires (whichever occurs later).
7.6 The data recipients will be entities cooperating with the Data Controller to ensure the proper implementation of services.
7.7 Data are not processed in an automated manner and are not transferred outside the European Economic Area.
7.8 Each person has the right to complain with the Personal Data Protection Office if they consider that the processing of their personal data violates the provisions of the General Data Protection Regulation of 27 April 2016.

8 Cookie policy
The https://bgl2025.dsw.edu.pl/ website uses cookies to adapt the website to the users' needs. This Policy relates to "cookies" and applies to the website operated by Netventure spółka z ograniczoną odpowiedzialnością (hereinafter referred to as Operator).
8.1 What are cookies?
Cookies are IT data, in particular text files, stored on the users' terminal equipment and intended for use on the website. These files allow for recognition of the user's device and appropriate display of the website adapted to his individual preferences. "Cookies" usually contain the name of the website from which they come, the time of their storage on the terminal device and a unique number.
8.2 What do we use "cookies" for?
We use "cookies" for the following purposes: adapting the website's content to User preferences and optimising the use of websites; in particular, these files enable recognition of a Website User's device and appropriate display of a website, adjusted to his individual needs.
8.3 What cookies do we use?
The websites use two main types of cookies: "session" (session cookies) and "permanent" (persistent cookies). "Session" cookies are temporary files that are stored in the User's terminal equipment until logging out, leaving the website or switching off the software (web browser). "Permanent" cookies are stored in the User's terminal equipment for the time specified in the parameters of cookies or until the User deletes them. The websites use the following types of cookies: "necessary" cookies to enable the use of services available on the websites, e.g. authentication cookies used for services that require authentication on the website's cookies used to ensure security, e.g. used to detect authentication abuse on the websites.
8.4 Legal basis for processing
The basis for processing when using cookies is Article 6(1)(f) of the RODO, i.e. the processing is necessary for the Administrator's legitimate interests, which are to maintain the session and the website's proper functioning.
8.5 Do "cookies" contain personal data?
Personal data collected using "cookies" may only be collected to perform certain functions for the user. Such data is encrypted in a way that prevents unauthorised access.
8.6 How long will we process cookies?
We will store cookies until you log off, leave the website or deactivate your software (web browser), and in justified cases for longer if this is permitted or required under applicable law (e.g. to assert claims). In this case, we will only process the data for the period necessary for the relevant purposes.
8.7 Deleting cookies
By default, the software used to browse websites allows the placement of "cookies" on the terminal device. We can change these settings in such a way as to block the automatic handling of cookies in the web browser settings or inform about their sending to the user's device each time. Detailed information on the possibility and methods of using cookies is available in the software (web browser) settings. Restricting the use of cookies may affect some of the functionalities available on the website.
8.8 What security measures do we use on the websites?
The Operator's websites are equipped with security measures to protect the data under our control against loss, misuse or modification. We undertake to protect any information disclosed to us by the Clients following the security and confidentiality standards.
